These terms set out the basic conditions for accessing and professionally using the Invoxi platform.

1. Scope and provider

These terms apply to every offer, subscription and use of Invoxi, a software service provided by GROUP RAMCOM BV, enterprise number 0818.471.152. Variations are valid only when agreed in writing.

The customer activating an account or using Invoxi confirms that it has authority to bind its organisation.

2. The service

Invoxi provides tools for invoicing, documents, planning, projects, time registration, payments and administrative follow-up. The selected subscription or separate quotation defines the exact features, limits and support.

Invoxi is an administrative tool and does not replace legal, tax or accounting advice. The customer remains responsible for ensuring that its use and documents comply with applicable rules.

3. Accounts and acceptable use

  • The customer provides accurate information, protects credentials and manages users and permissions carefully.
  • Accounts may not be shared beyond permitted users or used for unlawful, fraudulent or harmful activity.
  • Users may not bypass security, disrupt the service, collect data without authorisation, or copy, resell or reverse-engineer the software except where mandatory law permits.
  • Suspected misuse or unauthorised access must be reported without undue delay.

4. Customer data and documents

The customer retains ownership of submitted data and grants Invoxi the limited rights required to deliver, secure and support the service. The customer is responsible for the accuracy, lawfulness and required retention of its content and for having a legal basis to process personal data.

The customer must check documents, amounts, VAT treatment, payment details and recipients before sending or accounting processing.

5. Subscription, prices and payment

Prices, billing cycle, included use and any trial period are disclosed before ordering. Unless agreed otherwise, amounts exclude applicable taxes and invoices are due within the stated term.

Access may be restricted after prior notice if payment is late. Price changes do not apply retroactively and will be announced before the next renewal period.

6. Availability, maintenance and support

We aim to provide a reliable service but do not guarantee uninterrupted or error-free operation. Maintenance, security actions, failures of external providers or force majeure may temporarily affect availability. Planned work will be announced in advance where reasonably possible.

Support is provided through the channels and service levels included in the selected subscription.

7. Confidentiality and privacy

Both parties keep non-public business information confidential and use it only for the agreement. Personal data is processed under the privacy statement and, where required, a separate data processing agreement.

8. Intellectual property

All rights in Invoxi, its software, design, documentation and brands remain with GROUP RAMCOM BV or its licensors. During the subscription, the customer receives a limited, non-exclusive and non-transferable right of use. Feedback may be used to improve the service without disclosing confidential customer information.

9. Liability

Each party is liable for direct loss demonstrably caused by its contractual breach, subject to mandatory law. Except for intent, gross negligence or cases where limitation is prohibited, Invoxi’s total liability is limited to fees paid for the affected service during the preceding twelve months.

Invoxi is not liable for indirect loss, loss of profit or data, decisions based on incorrectly entered information, or failures of third-party integrations selected by the customer.

10. Term and termination

The subscription runs for the agreed period and renews or ends under the order terms. Either party may terminate for a material breach not remedied within a reasonable cure period. At the end of service, the customer will have a reasonable, previously communicated period to export available data.

Terms on payment, confidentiality, intellectual property, liability and disputes survive where their nature requires.

11. Changes and governing law

We may amend these terms for legal, security or product changes. Material changes will be announced in advance. Belgian law applies. Disputes will first be discussed in good faith and, if necessary, submitted to the competent courts of the Antwerp judicial district, Hasselt division, unless mandatory law provides otherwise.
